This policy explains what personal information Impact Studio LLC ("we", "us") collects through this application, why we collect it, how it is stored, and the choices you have. It applies to prospective and current tenants, and to the property owner using the administrative side of the application.
From rental applicants, during screening. Full name, date of birth, Social Security number, phone number, email address, current and previous addresses with dates of occupancy, employer and employment start date, gross monthly income, existing debt obligations, liquid savings, intended occupants, pets, and smoking status. We also collect documents you upload, including government-issued identification, recent pay stubs, and your most recent W-2.
From tenants. Contact details, emergency contact, lease terms, payment history, maintenance requests and any photographs submitted with them, and documents associated with your tenancy such as your signed lease and move-in or move-out inspection reports.
Payment information. Rent, deposit and application fee payments are processed by Stripe. Card and bank details are entered directly with Stripe and are never received or stored by us. We retain only the amount, date, status and Stripe reference for each payment.
Bank account information (property owner only). Where the property owner links a business bank account for expense tracking, that connection is made through Stripe Financial Connections. We receive account balances and transaction records for the accounts explicitly shared. We never receive online banking credentials, and we do not store bank access tokens.
Automatically. Standard server logs from our hosting provider, and a session cookie or token that keeps you signed in. We do not use advertising trackers or third-party analytics.
We do not sell personal information, and we do not use it for advertising.
We share information only with service providers who process it on our behalf, and only as needed to run the service:
We may also disclose information where required by law, or where necessary to establish or defend a legal claim such as an eviction or deposit dispute.
No system is perfectly secure. We work to protect your information but cannot guarantee absolute security.
Screening records for applicants who are not approved are retained only as long as required to demonstrate fair and consistent decision-making, then deleted. Tenant records, leases and payment history are retained for the tenancy and for the period afterwards required by applicable landlord-tenant, tax and accounting rules. Removing a tenant from the application deletes their account, leases and associated documents.

This application is not directed to children under 13, and we do not knowingly collect information from them. Minor occupants may be listed on an application by an adult applicant; we collect only their first name and age.
If this policy changes materially, we will update the date above and, where the change affects how we handle information already collected, notify affected users by email.
